How to Invite Guests to a Video Signing Room (With a Message and Email Preview)

Inviting people to a live signing should feel like sending one careful email, not filling in a dialog. Send Room Invites now opens a full-screen Set Up and Send panel: guests and a personal message on the left, the exact email and signing page each guest will get on the right.

A Video Signing Room is only as smooth as its invitations. Guests need the right link, the right time, and ideally a word from you about what to have ready. Hosts need to be sure the email says what they think it says before it goes to a client.

That's what the Set Up and Send panel is for. Here's how to use it, start to finish.

Before you invite: set up the room

Open the document, click Collect Signatures and choose Live Video Signing Room — or press Start Video Signing Session in the Signers panel. Video Signing Room Information asks for a session name, an optional date and time, an optional passcode, whether the identity check is Optional or Required, and whether to Set a signing order. Your own details sit in the Host Profile bar, collapsed to one line.

With no date the button reads Start Live Session Now; with a date and time it reads Schedule Session & Send Invites.

Open the Set Up and Send panel

Press Send Room Invites in the Signers panel. In a live room it's there even before you've placed any signature boxes, because the panel is also where you add and edit guests. The panel slides in over the editor with:

The left side: who, and what you want to say

The right side: see exactly what each guest gets

  1. Preview as — pick any guest. Each invitation carries that guest's own private join link, so the preview is per person.
  2. Email Preview — From, To and Subject over the exact email, rendered as it will arrive. It refreshes about half a second after you type in a guest card, the subject or the message.
  3. Document Signing PreviewOpen signing preview ↗ shows the document the way that guest will see it when it's time to sign: their fields, on desktop or phone, plus a sample of the completed document. (More in previewing what your signer will see.)

Send now, place boxes first, or schedule

The confirmation matches what you did: Invites Sent — Your Room Is Open for a live room, or Invites Sent — Session Scheduled for a later one.

FAQ

Can I add a personal message to the invitation?

Yes. The Set Up and Send panel has an optional Message of up to 1,000 characters. It appears in each guest’s email as a quoted message from you and is kept in the session’s audit trail.

Can I see the email before it is sent?

Yes. Email Preview shows From, To, Subject and the exact email for the guest chosen in Preview as, and it updates as you type.

Do guests need an account or an app?

No. Each guest gets a private join link that opens in their browser.

Can I send the link myself instead of emailing it?

Yes. Share session link instead gives you a join link to copy, and Copy Invite on a guest’s tile copies a text-message-ready invite with their private link, the session time and the passcode if you set one.

Why is Email Live Invites missing?

It appears once there is at least one guest and one signature box on the page. Use Place Signatures to create the guests and place their boxes first, then send from the Signers panel.
