A property manager sends the same lease every month. A clinic sends the same consent form to every new client. An office sends the same engagement letter to every new file. The document is the same each time; only the people change. Placing every signature, initials and date box by hand each time is exactly the kind of busywork a template should remove.
What a template saves — and what it doesn't
- Saved: where every box sits, what kind of box it is, and which role it belongs to — for example Tenant and Landlord.
- Saved: the template's name and up to 10 tags.
- Never saved: names or email addresses. You fill in the people each time you send.
Saving again under the same name replaces that template, so you can refine a layout without piling up copies. Templates are stored in your account, so you need to be signed in.
Three ways to make a template
- From the Signers panel. Once boxes are placed, Save as Template sits under Send for Signing.
- From the send confirmation. When you press Send for Signing, the confirmation window has ☆ Save as Template.
- From a request you already sent. Every request card in Signings & Audits has a Save as Template button — pending, completed or closed. It makes one role per signer, in signing order, and copies the boxes but never the people.
The third route is handy when you only realise after the fact that a document is one you'll send again.
Tag templates so you can find them
Tags work like labels rather than folders, so one template can be both #Leases and #Ontario. The save and edit windows suggest tags you've already used as one-click chips, so your tags stay consistent. Tags can be up to 30 characters; a leading # is optional, and the same tag in different capitals counts once.
The Templates screen
All your templates live under My Work › Templates in the sidebar, right below My Files. Each template is a card showing its name, its roles as green pills, its tags as grey pills, and how many boxes and pages it covers.
- Filter by tag — click a tag chip at the top (or All), or click a tag on any card.
- Edit — rename the template, rename its roles (keeping the same number of roles), or change its tags.
- Delete — asks first.
- + New Template — explains how templates are made and lets you open a document to start one.

Save a layout once, tag it, and reuse it for every lease, consent or agreement you send.

- Click Use Template on its card. It uses the document you have open, or asks you to pick one.
- Collect Signatures opens with a signer card for each role. Fill in each person's name and email — start typing and matching contacts are offered.
- Press Continue & Place Signatures. The boxes are placed where the template says.
- Check them — the Preview button shows each signer's page — then Send for Signing.
You can also start from Who needs to sign? in Collect Signatures, where 📋 Use a saved template lists the same templates. Templates are for emailed requests; they aren't applied inside a live Video Signing Room.
Tips for templates that keep working
- Build the template on the exact form version you send. If the form's layout changes, save a fresh template.
- Name roles by what people do — Tenant, Guarantor, Landlord — not by who they were last time.
- Tag by form type and province, so the right lease is two clicks away.
- Preview before sending, especially the first time you use a template on a new document.
