PDEZ PDF Editor Privacy Policy

Security & Trust

AICS Solutions · Ontario, Canada · Updated 23 August 2026

This page explains, in plain language, how your documents are handled: where they live, what is locked, who can see what, how long anything is kept, and which controls you can switch on or off. If someone asks you “is this safe to use for my clients?”, this is the page to send them.

The short version. Editing, filling and signing a PDF happens on your own device — the file is never uploaded for those tools. The parts that do need a server (your account, saved documents, live signing sessions) run on servers in Toronto, Canada. The most sensitive thing we ever hold — a photo of someone’s ID — is encrypted and deleted as soon as it has been checked.
💻

Your file stays with you

Opening, editing, filling and signing a PDF all happen inside your browser. For those tools the document is never sent to us at all.

🇨🇦

Canadian servers

Anything that does need a server — your account, documents you choose to save, live signing sessions — is stored in Toronto.

🔒

Encrypted connection

Every page and every upload travels over an encrypted connection. Plain, unencrypted requests are redirected automatically.

🪪

ID photos are locked

Identity photos are encrypted where they are stored, with the key held separately from the database.

🗑

Deleted when done

An ID photo is destroyed the moment the host has checked it. Nobody has to remember to delete anything.

📜

Everything is on the record

Every meaningful action in a signing session — who joined, who consented, who signed, who checked an ID — is written to a record you can export.

🚫

You can turn AI off

One switch on your account blocks every AI feature. It is enforced on our servers, not just hidden in the menus.

🔑

Passwords are never stored

We keep a scrambled, one-way version of your password. Nobody here can read it, including us.

What happens to a document, step by step

  1. You open a PDF. It loads straight into your browser from your own device. Nothing is uploaded.
  2. You edit, fill or sign it. All of that happens on your machine. Your signature is drawn, typed or uploaded, and applied locally.
  3. You download it. The finished file is built on your device. If you stop here, we never had your document at all.
  4. Optional — you save it to your account. Only then is a copy stored on our servers in Canada, so you can pick it up on another device. You can delete it at any time, and deleting removes it from your account, not just from this browser.
  5. Optional — you send it for signature or hold a live signing. The document and the signing record are stored so the other people can take part and so you have evidence afterwards.

Identity checks: what we do and do not do

A person compares the ID photo with the live video and decides.
No facial recognition. Nothing is matched automatically, and no face is measured or mapped.
No biometric database. We never create a faceprint or template, so there is nothing of that kind to store, search or lose.
Only the host of that session can open the images. Other guests cannot. Other accounts cannot.
They are deleted as soon as the host decides. If a session is abandoned and nobody ever looks, they are deleted within 24 hours anyway.
Identity checking is optional. A host can simply confirm who someone is on camera, and then no ID is collected at all.

The controls you have

You can…How
Turn off all AI featuresA switch in your account. While it is on, nothing from your documents goes to an AI provider — the server refuses those requests outright.
Skip identity checks entirelyIdentity verification is off unless you turn it on for a session.
Keep an ID image if your profession requires itChoose to retain it when you review, and give a reason. The reason is written into the session record.
Decide whether a session is recordedRecording is controlled by the host and everyone is told before they join.
Set how long things are keptRetention periods are set on your account and enforced automatically every day.
Export the evidenceDownload the full session record as a PDF or spreadsheet whenever you need it.
Delete everythingDelete a single document, or close your account and have it all removed.

Things we will never do

What we do not claim — yet

We would rather tell you what we have not done than let you assume it. As of today:

We do not hold a SOC 2 or ISO 27001 certificate. The controls described on this page are real, but they have not been audited by an outside firm.
We have not commissioned an independent penetration test.
Documents you choose to save to your account are stored on Canadian servers with access controls, but are not individually encrypted the way identity photos are.

If your organisation needs any of these before it can approve a supplier, tell us — it helps us decide what to do next, and we would rather have that conversation early than be discovered later.

If something goes wrong

If information is ever exposed, we record it, assess how serious it is, and where there is a real risk of harm we notify the people affected and the relevant privacy regulator, including Quebec’s Commission d’accès à l’information. The full procedure is in the Privacy Impact Assessment.

Everything, documented

These are the rest of the documents behind how the product works. Share this section with anyone who needs the detail.
